Employees can clock in and out of work from their smartphones with the VeriClock app. The app offers a richer experience by offering features not supported on the mobile web such as continuous tracking and the ability to ping a worker's location at the push of a button.

Phone Punch Clock

Employees can clock in with a regular touch tone phone - mobile or landline. This is great if you have a mobile or remote crew, or the internet is down. Employees dial a toll free number and enter their employee ID along with any business configured extra data such as job codes, voice reports, or custom numeric data.

  • Secured by an optional security PIN, employees can be verified in part by their caller ID as well as by using voice reports to later verify their voice. The employees' clock in data is available in real-time to employers.
  • Like all other access points, employees have the ability to clock in by phone, starting their day in the field, and clock out by the web back in the office, or vice versa.

Smartphone Punch Clock

Employees equipped with a smartphone can clock in and out of work by using the web browser on their mobile phone. Similar to a web clock in, business configured extra data like job codes, text reports, or custom data is recorded and available to employers in real-time.

  • Like all other access points, employees have the ability to clock in by phone, starting their day in the field, and clock out by the web back in the office, or vice versa.
  • Useful for safety, liability and verification purposes, an optional GEO tagging feature allows employers to verify their employee locations at clock in/out time. Employee clock in/out locations will be visible on a simple map view from within the management interface.

Employees can clock in and out of work from a simple web browser. Employees login with their employee ID and password, enter any business configured extra data like job codes, text reports, or custom data fields, and clock in. It takes only a few seconds to complete.

  • All data is immediately available for supervisors to see. Employee locations can be verified by the IP address of the computer they use.
  • For businesses that have multiple employees clocking in from the same computer or device, an auto-logout feature can be set-up to expedite the clock in/out process and make sure employee data is kept private.
  • Like all other access points, employees have the ability to clock in by phone, starting their day in the field, and clock out by the web back in the office, or vice versa.

Verification

Being able to view your employees' status in real-time is the most significant verification feature a business can put in place in order to ensure the accuracy of their time and attendance data. The moment an employee clocks in or out, their data is visible in the administration interface and optional notifications can be sent to managers. How they clocked in or out will be clearly visible, and additional verification features and data are available depending on the method used for clocking in and out.

  • For system access by phone, we record the caller ID of the phone used to make the call. Supervisors can configure the system to require employees leave voice reports when accessing the system. Using their web browser or smart phone, a supervisor can listen to the reports and download an MP3 recording for company records.
  • If clocking in/out is done via mobile web on a smartphone, supervisors have the option of recording the GPS co-ordinates of the location where the user clocks in/out. A map view is tagged with the clock in/out location and is available for viewing any time, anywhere.
  • When employees clock in/out of the system by web, their connection IP address is recorded in real-time and attached to the event for later viewing.
  • In addition to these features, time cards cannot be deleted permanently. Employers can search a complete list of deleted time cards. While events may be edited by managers and employees with permission, a complete history of all edits are stored indefinitely for future review. This safe guards against accidental edits and deletes, as well as any inappropriate or unapproved edits.
  • Once again, the simple act of clocking in and out in real-time and avoiding trying to remember important information days or weeks later is the single biggest improvement companies can make to improve the accuracy of their labor data.

Employees and managers can sign off on weekly time cards and create a digital paper trail showing that employee and employer reviewed the weekly time card and agreed that the numbers were correct.

Mitigate Time Disputes

  • Review time cards, raise any issues and communicate through a simple messaging system to resolve them. Once it is agreed that the time card is correct, both employee and manager sign, creating a permanent digital record which can be viewed or printed any time.

Comply with Labor Regulations

  • Certain jurisdictions and types of employment require keeping detailed time records and having employees sign off on their timesheet before being paid.

  • Configure the system to automatically generate and request a signature from employees on a weekly basis.

Paper Option Available

  • Digital signatures eliminate the need to print, sign and store paper time cards. However, in the event employees or managers cannot sign on a computer or mobile device, or if a paper record is desired, the time cards with blank spots for signatures can be printed.

Real-Time Data

View employees clocking in and out as it happens in real-time. Recording hours worked in real-time is the most effective measure a company can put in place to eliminate payroll losses due to cheating, buddy-punching, and mistakes. The vast majority of employees are honest, hardworking individuals that mostly just need a simple tool that will allow them to be accountable for their time worked. VeriClock does this.

  • Employees who have a tendency to fudge timecards quickly realize those days are gone with a system that records and reports data in real-time. The irreversible decision to fudge or cheat must be made in real-time and the benefit of plausible deniability previously experienced with manual timesheets, "oops, I made a mistake", is removed. One cannot “accidentally” record extra time worked anymore.
  • For supervisors, our Activity View page contains the most useful and up to date information on their employees. It shows who clocked in, when, on which job or site, how they clocked in, along with verification data like caller ID, voice reports, IP address, and even their location on a map.

Track Job Progress

  • Snapping before, during and after photos of your work allows you to better demonstrate job progress both internally and to clients. Employees can take notes or photos and attach them to their daily shifts.

Employee Expense Management and Vehicle Use

  • Have employees take a photo of job related expense receipts and admins can appropriately reimburse. A quick photo of an odometer can provide undisputable evidence of work related vehicle use.

Manage Liability

  • Never again will damage or lost property be misattributed to your crew with permanent timestamped photo-records of your job sites. As part of a safety check, team members can take photos of safety rigs and gear to document that everything was setup and done correctly and by the book.

Additional Employee Location Verification

  • Have your crew take photos as part of their start of day routine. In doing so, there will be a timestamped and geotagged photos that can be scrutinized later if need be.

Video Supported

  • Crews can take short videos instead of photos. Often this is a much faster and preferred way to document the state of a job site before and after the days work.

Alerts and Notifications

Businesses may configure various alerts to assist with managing their work force.

  • Email notification alerts for all clock in/out activity can be set up for one, some, or all employees. Quite often there will be an employee or two that a manager wants to keep his eye on and receiving real-time email alerts of their work activity is key.
  • In addition, alerts can be set up to detect the most common types of errors employees make – forgetting to clock in at the beginning of the day, or forgetting to clock out at the end. Properly configured, our “TimeGuard” feature will detect if an employee is clocked into the system when they aren't supposed to be, and will auto-clock them out. Supervisors will be notified of the error by email. Until they correct the time card, the employee’s hours will be defaulted to zero for that shift and any report that is generated will carry a warning about uncorrected "Time Guarded" shifts.

Job Costing

If things are not going as planned on a project, supervisors can make appropriate adjustments to their workforce as needed before the project is complete. Organize employees into groups, departments, regions, or crews for administrative ease. This feature can be used to divide workers in different departments or regions of the country or to simply categorize employees by crew.

  • Managers are assigned to groups and receive access to view and edit clock in/out data for only the employees in their group. With a large number of crews, this allows each manager or crew chief to view and administer only their employees, while company administrators can still view the entire companies employee data. Reports, job costing, and payroll can be done on specific groups in order to provide further insight into company resources.
  • In addition to simple organization and division of managerial roles, the grouping of employees can be combined with custom data gathering to collect and store different data from different groups. Cashiers can data enter register balances, drivers can record vehicle mileage, and sales people can record expenses. Combined with the other features of VeriClock, grouping can be a powerful tool.

Companies can configure VeriClock to query their employees for additional data upon clock in and out. The flexibility of the system is immense, allowing for very detailed customization of what data is to be gathered, who should be asked for it and when they should be asked.

  • Set up the system to record numeric data. This is great for recording employee mileage, worker meal breaks, or even the number of widgets made on a shift.
  • Text data can be optionally gathered as well. This supplements the built in text reporting for web and smartphone workers allowing additional, specific data to be gathered.
  • Custom lists can be set up and employees asked to pick an entry. This is useful for companies wanting second or third tier job codes and businesses that wish to attach invoice numbers to shifts for more detailed billing purposes. Common usage is to utilize job codes to track customers and to create a custom list to track how their time is spent on each customer account.
